Office Administrator

Responsibilities

Bookkeeping

  • Follow up with client statements monthly (debtors control)
  • Assist clients with invoice related queries
  • Record and file transaction documents
  • Reconcile finances across departments monthly
  • Process bank account transactions to various GL Accounts on a monthly basis
  • Prepare monthly management accounts
  • Maintain payroll on a monthly basis (create pay slips, calculate commissions)
  • Calculate VAT liability bi-monthly
  • Assist with SARS returns, such as VAT201 and EMP201, on a monthly and bi-monthly basis
  • Assist with preparation of Annual Financial Statements
  • Assist Finance Manager with ad-hoc duties as requested from time to time

Reception & Office management

  • Answer the door and phone, upholding the brand to external stakeholders
  • Ensure the office is a functioning, organised, clean and tidy environment, escalating any maintenance requests to the relevant service providers
  • Maintain, organise, purchase office supplies and equipment within budget
  • Manage calendar to coordinate space bookings
  • Help maintain office culture, proactively identifying ways in which to improve the environment in which we operate
  • Plan, implement and host student, client and team events

Administration

  • Track and maintain team processes and events
  • Assist with admin related onboarding tasks of new employees
  • Ensure office protocols are upheld by team and students
  • Assist directors with ad hoc administrative tasks

Experience 

  • 1+ years experience of office management, administration or bookkeeping

Job Details

Full-time: 08:30-16:30 Monday-Friday (or 08:30-17:00 Mon-Thurs and finish at 15:00 on Friday)

Location: 403 Old Castle Brewery; 6 Beach Road, Woodstock, Cape Town
